How it works
From the court portal to your calendar
1
Get your schedule PDF from the portal.
- Visit publicportal.courts.ri.gov and choose Search Hearings.
- Enter your attorney name or bar number.
- Search.
- When the results come back, scroll to the bottom and select the maximum number of cases to display.
- Click the print icon.
- Save as a PDF.
2
Upload the PDF to the app.
- Scroll to the upload box just below these steps.
- On a computer: drag the PDF onto the box, or click the box and open the PDF from where you saved it.
- On an iPhone or iPad: tap the box, tap Browse, and open the PDF from where you saved it.
- On an Android phone or tablet: tap the box, then find and open the PDF in your Downloads.
- Wait while the app reads the PDF…
3
Push the dates onto your cases (your dashboard).
- Once the schedule is read, click Apply dates to [N] matching cases at the bottom of the review. The app matches each hearing to an open case by docket number.
- Review each proposed date. A date that fills an empty field is pre-selected. A date that would replace a different date already on file is flagged as a conflict and left unchecked — check it only if you mean to overwrite. Additional pretrials are added to the case.
- Click Apply to cases. The dates are written onto the matching cases, so they appear on your dashboard and on each case record.
4
Add them to your calendar feed.
- Tick the hearings you want on your calendar — routine types (ability to pay, etc.) start unticked — then click Publish to calendar.
- Subscribe to your calendar feed, in the section below, so every court date flows into your own calendar and stays current. Unticking a hearing and publishing again removes it.
5
Send Ready Subjects when it's time.
- As each court date approaches, use the Ready Subject feature in the app to advise the courtroom clerk that you'll be ready.
- Each notice is prepared for you — addressed to the correct clerk — as a draft to review before it's sent.

Your court calendar feed
Your calendar feed is a private link to every court date in RI Defense Pro. Add it to Google or Apple Calendar once, and your arraignments, pretrials, and trials appear alongside your everyday appointments — and update on their own whenever a date changes here. There's nothing to re-import, and the link is read-only, so your calendar can never change your case files.

How to use RI Defense Pro
1
Complete your Attorney Profile (below). Your name, bar number, firm, and address populate every document the app generates — filings, fee agreements, client emails. Add your signature and confidentiality notice, and upload your letterhead. Do this first — the rest builds on it.
2
Allow location for Drive Times. The dashboard shows how long the drive is to each courthouse you're due at that day, in live traffic, from wherever you are — just allow location access when your phone asks. Nothing to set up.
3
Connect Google or Microsoft. This lets the app draft emails in your name, file documents to your Drive or OneDrive, and pull new-client leads from your inbox.
4
Add your Lead Sources. In the Lead Sources card, list the email addresses your new-client inquiries arrive from — your answering service, website forms, referral services. Leads from those senders then surface on your dashboard on their own.
5
Turn on signing notifications under E-Signature, so a case flips to Signed automatically when a client finishes signing a fee agreement.
6
Create your first case. Go to New Case, choose the type, and photograph the summons or upload a PDF. Tap Read Documents and the parser fills in the defendant, charges, statutes, court, and hearing dates. Review and confirm — the scan becomes the case.
Tip: on your iPhone, sign in once in Safari, then add the app to your Home Screen (Share → Add to Home Screen) so it opens full-screen and camera scans work best.

Letterhead & Signature
Your letterhead and signature image — used on fee agreements and signed documents. Court filings print in standard pleading format.
Upload your letterhead as a single PDF or image of the full page. Drag the two blue lines to mark where your header ends and your footer begins — agreements print in between, with standard 1-inch side margins.

Motions
The motions the system generates. Nothing to configure here — this is where they live.
Motion for Discovery — generated automatically with the District Court filings on every case that has a District Court case number. Standard typed pleading format.
Motion for Continuance — the judiciary’s official motion form (CC-23), filled in with your information and the case caption, asking the Traffic Tribunal to continue the arraignment while the companion District Court charge is resolved. Generate it from the Court filings section of any case with a Traffic Tribunal summons.
Contact Card
A tappable QR code clients scan to save you straight into their phone’s contacts. Leave a field blank to use your profile info; fill one to show something different on the card than on your legal documents.
Only what you see here goes on the card — no case numbers, no personal lines.
